Explore Process Metrics in Views

What are Process Metrics?

When working with Charts and Tables in Views, you’ll be working with various process metrics and dimensions to obtain data-driven process insights. Let’s start with an overview of what process metrics and dimensions mean.

Process metrics are quantitative measures used to evaluate the efficiency and quality of a specific business process. These are often the key performance indicators (KPIs) of various business processes, which you might be familiar with. In Views, process metrics or KPIs can appear as a standalone number or in charts and tables.

Below are some examples of process metrics/KPIs for Celonis Core 5 Processes.

Order Management

Blocked Orders, Open Orders, Open Net Order Value, Aged Value

Accounts Payable

Cost-per Invoice, No Touch Rate, Paid-on-time rate, Invoice Processing Cycle Time

Accounts Receivable

Days Sales Outstanding, Revenue Leakage, AR Turnover Ratio, Invoice Paid On-Time

Inventory Management

Active Stock Level, Current Stock Level, Excess Inventory Rate, Material Availability

Procurement

Three-way Mismatch, Open Requisitions, Net Requisition Value

Please note that process metrics are different from dimensions.

What is a Dimension?

A dimension is a category of attributes; for example, the dimension "customer name" is a category for individual customer names. Other examples of dimensions, depending on the nature of the process, can include vendor name, sales organization, region, material group, and the like.

Types of Charts and Tables

You can leverage charts and tables in Views for various purposes from reviewing trends in your process metrics to comparing performance.

Before you get your hands dirty in your training environment, check out the chart types and tables available in Views below.

Category charts are used to show categorical information, allowing for easy comparisons, identifying patterns, and exploring relationships within the data. Examples include bar charts and their variations, as well as pie and donut charts.

Get your hands dirty and interact with tables and charts yourself!

In the following hands-on exercises, you will imagine yourself stepping into the role of a Process Lead in the order management department at SecureNet Data Centers. As part of your daily work, you leverage a Celonis App to investigate and refine the order management process, aiming to boost efficiency and ensure timely delivery.

The challenge: You have been informed that there are big issues with on-time delivery. Orders related to backup power generators material group are particularly problematic, leading to increased customer complaints.

Let’s jump into the exercises to understand what is happening at SecureNet Data Centers. To do so, follow the exercises on the next page to navigate to the View dedicated to the Use & Interpret Views training track.

Get Ready for the Exercises

In this course, you’ll have the opportunity to have hands-on experience using a View in a custom training environment. Go through the following steps to get access.

In the custom training team, go to Apps.

Look for the Space “Business User Training”.

In that Space, there should be an “Use and Interpret Views” Package, which you will use for this course.

Click on it, and you'll open the "Use & Interpret Views - Order Management Hands-on Exercise" App.

Explore Your KPIs

Let’s start by exploring our main process metrics or KPIs. Have a look at the KPI list to understand the amount of sales orders, sales order items, net order value, on-time delivery, and average delays.

What is the current on-time delivery rate and the average delay (in terms of days)?

Answer

20.24% on-time delivery rate and 8.53 days of average delay.

Check on the KPI Cards for On-Time Delivery Rate and Average Delay.

How do these KPIs change for orders classified as late? Hint: interact with the pie chart for filtering.

Answer

The on-time delivery rate is of course 0% as you’ve filtered for the late orders. And the average delay is 10.17 days.

Interact with the pie chart called “Delivery Classification”: Click on the “Late Delivery” to filter for the sales orders that were late. Then check out how the KPI Cards for On-Time Delivery Rate and Average Delay get updated.

Now let's check out the Filter Bar (hint: use the “Show filter bar” button to display it on the right side of the View). You’ll see that it also includes a filtering option for early, on-time, and late deliveries, among others, that has been configured for this View. Thus, you can quickly use these filters, instead of interacting with the charts, if you prefer.

Remove the filter that you have applied (or disable it, if you'd like to return to it later) before moving on.

Then, turn your attention to the bar chart to get more insights into the different material groups and how much Net Order Value they have.

Which Material Group has the highest Net Order Value?

Answer

"Backup power generators". This is also the material segment that you’ve been warned about as there is increased customer complaints.

Here is where you find the answer. ⬇️

Check out the bar graph showing the Net Order Value per Material Group. It ranks the material groups from highest to lowest Net Order Value.

It’s time to use the table component to dive deeper into our analysis. Let’s first watch this video to get familiar with the capabilities of the table component.

Filter on the "Backup Power Generators" material group (hint: by interacting with the bar chart) and check out the table to explore the materials that are part of this material group and the plants where they are manufactured by changing the breakdown of the table.

Which two materials in the "Backup Power Generators" material group are the ones with the highest Net Order Value and the lowest On-Time Delivery Rate?

Answer

“Diesel Generator (100kW)” and “Natural Gas Generator (50kW)” are not only the materials with the highest Net Order Value for the category but also the ones with the lowest on-time delivery rate within that category. If you would need to prioritize, this would be a good starting point.

Interact with the bar graph to filter the dataset: Click on the bar designating the “Backup Power Generators” material group and apply the filter.

Then, go over to the Table and change the breakdown to Material. Next, sort the Net Order Value from highest to lowest by clicking on the column header once. Lastly, apply a secondary sorting to sort the On-Time Delivery Rate from lowest to highest. To do so, click on the column header twice.

Check out the first two items listed on the table.

What about the plants? (Hint: Switch the dimension being displayed in the table to Plant.)

Which two plants are the ones with the highest Net Order Value but lowest On-Time Delivery Rate for the "Backup Power Generators" Material group?

Answer

South Africa and Philadelphia: They are the ones with the highest net order value by far, but they also have low delivery rates for this material group.

Keeping the same filtering and sorting, change the breakdown of the table to Plant. Check out the first two items displayed on the table.

Continue Your Exploration with the Filtering Options

Now let’s focus our analysis by filtering for the South Africa plant. Next, add the Philadelphia plant to your selection by clicking on the filter chip: You can search by the name or scroll down to find it.

Click on the line for the South Africa Plant to filter the dataset. Then, click on the filter chip that has appeared and search for the Philadelphia Plant to adjust your filter.

Next, let’s try out the filter bar to filter for the materials (“Diesel Generator (100kW)” and “Natural Gas Generator (50kW)”).

You'll notice that all the components within your View have adjusted according to the filters you applied.

On this histogram, select all the bars that designate the sales orders that were delivered at least 5 days late and more. Then check out how the KPI card showing the number of sales orders gets updated.

Take Action in Views

By now you know that you can use Views to review and analyze your process data. But did you know you can also perform actions such as sending emails and updating items’ status in them?

Let's have a look at an example:

This is a View from an Inventory Management App. It matches high urgency items with open orders for the material and distribution centers that need the item, and automatically executes the stock transfer.

The table component outlines details such as material ID, urgency, and allocation status. Selecting one or more of the listed items (by checking the boxes on their left) reveals actions which can be performed on each item. These actions are fully customizable. Often they include activities like sending an email to stakeholders about an item, updating the status of an item, or allocating it to an order. You can also leverage actions to assign a task to relevant stakeholders.

The options here are manifold. You can reach out to your Data Analyst if you have a specific action in mind and would like to discuss its feasibility.

Note that, you can perform actions not only through buttons embedded within tables but also via standalone buttons incorporated directly into the View.

Take Action in Views

Would you like to try an action in a View yourself? You can! The only prerequisite is that you have a local email application installed on your computer.

Returning to our hands-on exercises, your new goal is to identify the customers who have an On-Time Delivery Rate that is at least 2.5% below the overall average. 🎯

If a customer's On-Time Delivery Rate drops more than this threshold, then the case needs to be flagged and sent to colleagues in the warehouse for further analysis.

It's time for you to test whether this goal is met for all the customers. To do so, make sure the dimension being displayed on the table at the bottom of the View is Customer, and sort the table by the On-Time Delivery Rate (lowest to highest).

Is there a customer for whom the On-Time Delivery Rate is 2.5 below the overall average? (Hint: currently, this corresponds to numbers below 18%) If so, which customer(s)?

Answer

Yes, there is one customer. NexusPoint Infrastructure with 17.59% On-Time Delivery Rate.

Make sure that the dimension being displayed on the table is Customer. Then, sort the table by clicking on the On-Time Delivery Rate column header twice to display the values in ascending order. Check out the table.

Now that you have identified a customer for whom the On-Time Delivery Rate is below the target value, you need to flag it to the relevant stakeholders!

To do so, select the row with the customer "NexusPoint Infrastructure" by using the checkboxes on the left-hand side of the table. You'll see an action button appearing at the top of the table which says "Flag low On-Time Delivery Rate". Hovering the button provides additional information about what this button does: It lets you send an email including the information about the selected customer, flagging that this customer's On-Time Delivery Rate is off target and needs to be checked.

Click on the checkbox next to your selected item and a button will appear for the corresponding action you can take!

If you have a local email app installed, go ahead and click the button. It'll create a new email draft with a templated message, including all the relevant details from the table (e.g., customer's On-Time Delivery Rate, affected Net Order Value). All you need to do is specify the recipient of the email, and hit send.

There you go! You've just taken your first action in a View! 🎉

You've now gotten a first taste of what "taking action in Views" looks like. Sending an email is just one example of an action you can take. Depending on the use case, you can even trigger entire workflows with just the click of a button… You will certainly explore a lot once you start working with your real-life Views.

Note that examples like the one we've used for this exercise are good use cases to leverage Celonis' automation capabilities!
