Case-Centric Process Mining

What is Case-Centric Process Mining?

Case-centric process mining is the most common approach to process mining and has a few defining qualities on the data modeling side:

One case (object) per process

Each process follows ONE object.

For example, in an Order Management process, a case is typically a Sales Order Item.

In a Procurement process, it is a Purchase Document Item.

Process events follow the object

All the events that take place in the process are mapped to their single chosen object. The events are inserted into event logs.

Event logs represent processes

Event logs, also known as "Activity Tables", are the centerpiece of process mining. They mainly comprise case IDs, activity names, and corresponding event timestamps.

One or more event log(s)

A simple Data Model for one process has one event log. For more comprehensive views, multi-event logs are needed.

In a nutshell, this approach tracks one object (case) per process and maps all process events into a sequential event log. Here is a simple video that explains in more detail the heart of case-centric process mining—event logs:

Case-Centric = Event Logs for Downstream Activities in the Studio

Using a Data Model based on one or more event logs and other related metadata, process mining activities such as discovery, conformance checking, predictions, and automations can take place. In Celonis, most of these activities are done in the Studio.

The Value of Case-Centric Process Mining

Case-centric process mining is the main process mining approach in the market. It has added and continues to add value to businesses by:

providing insight into processes based on the chosen case perspective. allowing businesses to uncover and fix process inefficiencies. helping businesses to track process performance against specific KPIs. allowing businesses to fully or partially automate actions based on process data.

If the benefits are so great, why is there a need for another approach to process mining?

The Limitations of Case-Centric Process Mining

There are certain factors in the case-centric approach that prevent process mining from reaching its full potential. Here is a non-exhaustive list of some of the limitations:

Restricted perspective

Business processes are made of multiple objects that interact across many events. Forcing processes into a one object perspective has benefits but does not capture the interactions between objects. Consider an Order Management process that looks at Sales Order Items versus one that considers all objects involved:

Incomplete Information

By committing to a specific case (object) for an event log, you may lose information you would have with an alternative case. Depending on the objects you chose, you may have:

  • missing events,
  • duplicate events,
  • or missing event context.

Let's have a quick look at the latter two.

Duplicates events

Imagine you have an Amazon order containing 5 books (book 1-5). If you select books as your object for an event log, then events that happen to the order as a whole such as "Order cancelled", will be replicated to each item. This leads to duplicate events if not accounted for.

Missing Event Context

Now let's reverse the table - imagine your event log object is the order, and events happen at the book level. This leads to an accurate count of events but a lack of context as to which exact object is affected and what the right sequence is.

Effort to start

If you've worked in building Data Pipelines with event logs, you will know that it requires a certain set of skills and a considerable time investment. This time and cost is somewhat alleviated thanks to pre-existing templates but all businesses have a certain level of customizations.

Without experienced data engineers and SQL skills, building case-centric data pipelines is a challenge. A typical data pipeline for one process can have upwards of 200 transformations with advanced SQL scripts:

Effort to update

One event log has been built but now we need a new perspective (another event log) in the same data model. Sound familiar?

Adding separate objects means creating separate event logs which increases the Data Pipeline complexity and can require extensive SQL, data validation, and rework of existing analytical assets. There is nothing wrong with this approach but it takes time and effort.

Multiple event logs result in a multiplication of scripts and effort:

System dependence

When building a data pipeline, you extract and transform data using scripts that are specific to the source systems. This means the table and column names in your data model are also system specific.

Now imagine there are 10 different systems that all cover the same process but in a slightly different fashion. Building events logs for each prevents us from re-using the common process objects and events across these systems. Simply said, there are no synergies.

Now let's see how object-centricity can address these issues.

What is Object-Centric Process Mining?

If you look at classical process mining, you can basically create 2D images. So you can look at one object type, you just look at orders, you just look at items, you just look at packages and you get models that really have value. But they kind of fail to capture the interrelationship between different object types.

So take for example, the process of a pit stop of a formula one car. Then the question is, what are the objects that are involved? Are these the tires? So the four tires that are being replaced by new ones. So in total, there are eight tires, there is a driver, there is a car. There are, let's say 20 crew members. If you now would view this event in a classical way, and you would say, ok, now, I don't want to look at the whole, I just want to look at tires right. Then you would have the following problem that if you would view a pit stop from the angle of a tire, there are eight tires and you would think that this pit stop has happened eight times one time for every tire. So if you look at the pit stop, you could view it from the angle of tires, you could view it from the angle of drivers. You could view it from the angle of a pit crew member.

But these are all, let's say 2D images of exactly the same thing that has happened. And I think it's very important to put it all together so that you have a real comprehensive view of what is really going on. Just looking at from the viewpoint of a tire, you are missing many things that may be the cause that things get delayed or that things are non compliant. And you are failing to see that if you view it from the angle of a single object, normally we do not see these interrelationships.

But now assume that you want to reduce the number of shipments. But the number of shipments that you have is influenced by whether you have delays in your production because you cannot ship everything at once. So you can reduce the number of shipments by looking at production. Or if you are looking at the sales process, you can let your sales process be influenced by the status of your production. So you want to avoid selling many things that later lead to production problems. So you can much better look at the interrelations of all these different objects When people use process mining and they apply it for the first time and they try to look at lots of different activities, we typically see spaghetti diagrams. We realize how complicated real life is.

Using object centric process mining, you can kind of untangle the spaghetti you did and you do that by making things simpler, by looking at a couple of selected object types and reduced number of activities, rather than trying to put everything together in a way that is intertwined that nobody understands. You are now able to separate the different perspectives and you pick the perspective that you are interested in. So you can think of this as let's say 2D versus 3D. And because you have this three dimensional view, you can basically look at your organizational process from any angle. So without changing what you have captured, you can still view it from different angles.

Professor Wil van der Aalst introduces two major aspects of Object-Centric Process Mining:

The ability to capture multiple objects, events, and their relationships. The ability to dynamically choose the right perspectives to look at your business from any angle.

What are Objects, Events, and Relationships?

In the context of process mining, objects are the physical, tangible parts of your processes. They are the elements affected by events.

In a pit stop scenario, examples of objects are tires, car, driver, and pit crew.

In an order management scenario, the objects are purchase order, sales order, production order, shipment, invoice, goods receipt, and so on.

Together, objects, events, and relationships help you build a realistic model of your business.

Building a Digital Twin of your Business

Building a digital twin of your business is the foundation of object-centric process mining. It means using objects, events, and relationships to model the reality of your business.

As you saw, the reality is that objects exist outside of linear, sequential processes, and events can apply to many objects. Instead of forcing your processes into event logs following singular objects, you can more naturally model your business based on its objects and events.

A single source of truth with many advantages

This single source of truth, or digital twin, is the new data foundation that can power process mining and insights across Celonis applications.

A digital twin based on objects aims to go beyond the limitations of case-centric data models:

Object-Centric Process Mining: Celonis-Style

Strap on your seat belt—this is where we show you a side-to-side architecture diagram of case-centric process mining compared to object-centric process mining. Make sure to read through the numbered items—they show the steps and tools used to prepare source system data for process mining.

Case-centric process mining:

Import a Connector Import a Process Connector template from the Celonis Marketplace.

Connect and extract Connect to the source system and extract source data.

Build a data model Build a process data model in tables in the data store (Vertica) by modifying the underlying database structures through SQL. Today we do both with SQL scripts: Define and manage the data model on the database. Transform the source system data into that data model.

Load a data model Load the data model with case tables, event logs and metadata to the query engine (Saola) to use it in the Business Miner and in Studio assets. Object-centric process mining:

Start with the Celonis Objects and Events The object-centric data model is the digital twin that describes a business in objects and events. It comes out-of-the-box with predefined object and event types (i.e. invoices, sales order, etc.) for core use cases of your choice. (More on this on the next page).

Customize the model You can create custom objects, events, properties and their relationships to meet your specific needs. You can extend the predefined types to model unique elements of your business. Unlike in the case-centric world, the digital twin can easily be reused across different analyses and use cases.

Connect and extract Connect to the source system and extract source data.

Transform Transformations are now focused on translating source system structures into the objects and events. You can deploy out-of-the-box transformations for specific systems (SAP, Oracle) or script your own based on your system.

The complexity driver to merge process data into an event log is removed. We simplify the transformations to create single object tables and single event tables.

Load a perspective A slice of the object-centric data model (digital twin) is loaded to the query engine as a perspective for one use case.A perspective is a subset of all the objects and events we load to the query engine for fast querying with PQL. Perspectives are the interface for Process Adherence Manager, and Process Explorer. For compatibility with case-centric Studio assets, event logs are created.

Next, let's zoom in on the advantages of the object-centric data model.

Object-Centric Data Model

The heart of object-centric process mining is the object-centric data model. It acts as a starting point for you to model your business.

What is it?

A model with predefined object types, event types, and their relationships for the most common objects across all businesses. You can easily map your business data to the object-centric data model using the supplied connectors for SAP and Oracle. Objects and events are provided for 5 core processes: Order Management, Accounts Payable, Accounts Receivable, Procurement, and Inventory Management.

Extend it

Extend the object-centric data model to build your digital twin by modeling your own reusable object types and event types specific to your unique business requirements.

Dynamic analyses

With one standard data representation for all capabilities, you can easily switch your analysis perspective for a deeper and wider view. Existing Celonis assets are not disrupted when you extend the model thanks to the modularity of objects.

Working with Objects and Events

Here is what you need to know about the advantages of working with the objects and events environment:

Intuitive business language modeling

You work with the human readable names of objects and events (rather than database table names) in a single, reusable and extensible source of truth.

System agnostic

Take advantage of a standardized view of object and event data regardless of source systems used. In the Studio, these object and events are what users see instead of source table names.

Data Modeling is no longer only for Data Engineers

Together, the object-centric data model and the objects and events environment allow the modeling of your business to be visual and driven by your business rather than script-based and driven by a data approach. This reduces the effort of building your data pipeline and renders modeling accessible to less technical users.

Clarifying Key Terminology

In learning about object-centric process mining at Celonis, you've now come across a few new specific terms. Here is a list of these terms with their definitions. Feel free to skip, this is simply for you to review and solidify your understanding.

TERM DEFINITION Objects

Object - A digital representation of something connected to your business that exists in the real world. For example, a customer, a company, an order, or an invoice. Each object represents a single instance of the thing that is defined by an object type.

Object type - A standardized picture of an object in a business (such as an invoice), and what properties it has (such as a currency).

Events

Event - A digital representation of a real-world occurrence that happened, at a single moment in time, to one or more objects connected to your business. For example, an invoice was paid, a user created a purchase order for a vendor's product, a customer placed an order, or an order was shipped. Every event created or added something to an object, or altered one or more properties of the objects involved in the event. We can therefore identify and create events by looking at the timestamps of objects and the change meta-objects that are linked to them.

Event type - A standardized picture of what happens to the properties of objects when an event takes place (such as shipping an order).

Relationships

Object to object relationship - A definition of the expected relationship of one object to another object in a business process. For example, an invoice and a customer are related to each other.

Event to object relationship - A definition of the expected relationship of one event to one object in a business process. An event can have multiple event to object relationships with multiple objects. For example, when a customer places an order, the event of placing the order relates to the order, and also to the customer.

Object-centric data model A set of standardized, system-agnostic objects, events, and relationships designed by Celonis along with pre-built transformations from common source systems. Perspective A Data Model that includes a subset of the object-centric data model and custom-defined object types, event types, and relationships to represent a particular business process or grouping for analysis. Event log An event log built from an object-centric representation of a case, using a perspective. Event logs created from object-centric data models are compatible with apps and views that require case-centric representations.
